Setting Up Instant Check

GETTING STARTED

You must reboot your computer after you install Instant Check in order to have Windows load the required fonts. In the event that the fonts are not loaded try reinstalling all the font that are in the Intant Check folder to Windows\Fonts.

All Instant Check setting are stored in the file Money.ini located in the Windows folder.

Password

First you will need to assign a password to access Instant Check. If you choose not to have one you can bypass this step.

On the menu bar click on SETUP and then PASSWORD. Enter a password, you can not use an empty password; you must have at least one character as a password. If you should decide in the future to turn off this feature, enter the word NO in capital letters. You can change it at any time.

Once you have entered a password, you will need it to change the password and to enter the program. To enter a password, you must enter it exactly as you set it up. If you set it up as "georGe", then you must enter it at the security check points as "georGe" using the small letters and the capital G.

You can also enable and disable Menu Items by clicking on Setup and then Disable Menu Items. This feature can also be password protected if you select a password

SETTING UP MY CHECK

On the menu bar of INSTANT CHECK you will find references to My Check, these apply to writing your own checks and searching for information about the check you have written.

 

SETUP:

To print your own checks you must first setup MY CHECK. Click on SETUP in the menu bar, then on SETUP MY CHECK. Now enter all the information from your check into the boxes on the bottom of the screen. Be sure to enter the information exactly as it appears on your check.

When entering your route number, you will see on the bottom of your check a nine digit number starting and ending with A enter those numbers in the route box.

The account number can be any number of digits ending with C enter those numbers in the account box. Then your check number (Instant Check will remember this number and start with this number) in the check number box.

Then enter the bank branch number in the branch box. The branch number is 1 to 3 digits long and usually next to a series of small numbers in the upper right corner or next to the bank name in the bottom left corner.

If you are unsure of what numbers are where, you can enter a number in a box and click display. Lastly, enter the clearing code in the small box in the bottom right window. When you are done click SETUP and then SAVE SETUP. To change any entry at any time, simply Click SETUP then change the information and click SAVE SETUP. You can change it at any time. Next, click on SETUP then on SETUP BALANCE then enter your balance in the new window and click OK. You can change it at any time.

ASSIGN SIGNATURE

To setup a signature click on SETUP and the ASSIGN SIGNATURE. A. window will appear and you can enter any text you like. Or you may wish to use a preprinted signature. To enter a preprinted signature enter the letters BMP in capital letters. You will need to have a scanned bitmap made. It should then be placed in the Instant Check directory and renamed to Sign.bmp. You can change it at any time.

If you need to have a bitmap made of your signature we will supply you with one for a small fee of $5.00. Contact Easy Desk Software. You must place this file (Sign.bmp) in the Instant Check directory, replacing the sample.

ASSIGN PAYEE

To setup the payee click on SETUP and then ASSIGN PAYEE and in the new window enter the name of your company or your name. You can change it at any time.

PRINTING A CHECK

There are two different checks to print, one with a stub and one without a stub.

Stub checks have 1 or 2 stubs and 1 check for each sheet. While the checks without stubs have 3 checks per sheet. When printing with a stub, select PRINT WITH STUB. If you are not using a stub select PRINT. Instant Check is setup to print a variety of check sizes; they must be on 8.5 X 11.0 paper and 3 entries per sheet. See Adjusting magnetic numbers.

The easiest way to write your first check is to select the Walk Through feature located under the Menu Bar Item Help. You will also find three buttons on the bottom right hand corner. These buttons will adjust the Bank name "<" moves it to the left, "" move the Bank name to the right and the "F" changes the font to one of three choices.

ADJUSTING MAGNETIC NUMBERS

To move the magnetic numbers at the bottom of your printed check, click on SETUP then PRINT STUB or PRINT NO STUB. The default setting will be displayed. To lower the strip of numbers (to print lower on the check) raise the number, change the number a small amount at a time. i.e. change 50 to 55 and try printing a check.

Getting Started

RECEIVING A CHECK

To receive a check, you will be using the CHECK menu only!

When you are receiving a check you may enter the information in the boxes in the lower window without clicking on anything. If you have any information on the screen or in any of the boxes click on CHECK and then NEW, then enter the information.

If you wish to use plain paper select the graphic Menu Item and then select a bitmap to use as the background. Instant Check will only display Bitmap files (bmp). You will find a few background bitmap files in the Clipart directory under the Instant Check directory. After printing the check, you will need to print the reverse side. Place the Check in the printer so that the back can be printed. Place the check in the same direction the front was printed. You will also need to have the magnetic numbers set to 65. See ADJUSTING MAGNETIC NUMBERS

Next ,click on INSERT CHECK and fill in the edit boxes. First select the INSERT PAYEE, then select NO SIGNATURE REQUIRED if this applies, and then select the type of authorization i.e. Phone, Fax, or E-mail. Then fill in the remaining boxes. Then click DISPLAY and check the information on the new check. If you need to edit any of the information you must first click on INSERT CHECK and then you may edit the check. Now Click on NOTES and make your entries. If you forget to click on NOTES the window will appear automatically when you click on PRINT. Click on enter when you are finished with this window. A customer number will be assigned automatically for the purpose of searching in the future. Then click on PRINT and print your check.

WRITING MY CHECK

For this feature you will be using MY CHECK in the menu bar.

The first thing you will have to do is setup your check, see the SETUP help file.

After your check has been setup, click on the MY CHECK in the menu bar, then on NEW.

Than on INSERT CHECK. Now select INSERT SIGNATURE if you are using a bitmap or a preprint signature. Then fill in the blank boxes, click DISPLAY when you are done. If you need to edit, click on INSERT CHECK first, and then edit, and click DISPLAY. You can then click PRINT.

A log will be kept of all your checks. Your balance will be adjusted and your check numbers will be recorded. The next time you print a check the next check number will be used.

DEPOSITS

To enter a deposit you will need your password if you have set one up. You will need to click on MY CHECK and then MAKE DEPOSIT. Fill in the blanks and click OK. You can enter a longer memo than the size of the window. Your balance will be logged and updated.

WITHDRAWAL

To enter a withdrawal you will need your password if you have set one up. You will need to click MY CHECK and then click on MAKE ADJUSTMENTS. Fill in the blanks and click OK. You can enter a longer memo than the size of the window. Your balance will be logged and updated.

BALANCES

To enter a withdrawal you will need your password if you have set one up. You will need to click MY CHECK and then VIEW BALANCE. The balance is maintained when you write a check using MY CHECK, make a deposit or make a deduction.

NOTES

When you are receiving a check you will want to make notes of what the check is for, from whom, and how it was verified, etc. This can be done at anytime before printing. If you forget, the note box will appear before printing. You cannot close the window unless an account number has been entered. If you click on EXIT, the screen will clear and the information in the lower window will disappear.

ROUTE #

On the bottom of the check is a nine digit number starting and ending with A enter those numbers in the route box.

ACCOUNT#

The account number can be any number of digits ending with C enter those numbers in the account box. Be sure NOT, to include the check number with the account number

CHECK #

Then enter the check number in the check number box. This number is maintained each time you write a check using MY CHECK.

BRANCH

The branch number is 1 to 3 digits long and usually next to a series of small numbers in the upper right corner or next to the bank name in the bottom left corner. If you are unsure of what numbers are where, you can enter a number in a box and click display. If the branch number is divided by D you do not need to use it, i.e. 843D98706C enter it as 84398706C

Lastly, enter the clearing  code in the small box in the bottom right window. This number is for the federal reserve and changes by the state and area the check is drawn on. You must have this number.

Keeping a record

When you print a check, a log will be started and stored. You may view the log to see what checks were printed and when they were printed.

Each check that you print will also generate a file with all the information that was printed on the check.

LOGS AND RECORDS

GETTING STARTED

There are two forms of information available to you, logs and records.

Logs contain the exact name, date, account number, record number and the memo of each transaction made. You can have hundreds of different transactions made in one log. The logs makes it easy to view all your transactions for a period of time you pick before placing them in storage.

Each record contains all the information that was entered on a customer's check.

Only one check entry to a record. This also allows you to recall the check and print a new check for a new transaction. If you print a check from i.e. John Doe with account #12345 on 03/31/2005 and then print another check for him the same day, the second record will then overwrite the first record. The Records are stored by account # and date. The Log however will show both checks.

It is recommended that you store your customer records each month on the same day. i.e. the 1st of each month. This will allow you to retrieve information in the future quickly. You will only need to know the month and the year the check was printed.

It is also recommended that you start a new log for your own checks and for your customer's checks using the first of the month.

SEARCHING

There are four ways to search for a customer's record of a transaction. By name, date, account #, or record #. To search you will need to click on SEARCH in the menu bar and then on one of the two choices. The first is the database, enter a few letters of the name that was on the check. If you wish to search for a date, account #, or record #, then select Other Searches your See Other Searches

If you do not know the exact date, name, account #, or record #, you will have to view the logs. See VIEWING LOGS.

If you had an earlier version of Instant Check you can use the Update Database feature to add all the previous records to the database

Other Searches

Stored records, are stored by the month and year of storage, so you will need to know the month the check was stored. See STORING RECORDS.

To retrieve the information click on OTHER SEARCHES, then select the month for the list. Then enter the exact date, account #, or record # used on the check.

If you do not know the exact date, account # or record # ,you will have to view the logs or locate it in the database. See VIEWING LOGS.

SETTING UP CREDIT CARD ENCRYPTION

To use this feature you must have selected it during installation. If you did not select it then, you will need to reinstall Instant Check before being able to use it.

This feature allows you to place a zip file on you web site for your customers to download. Your customer will fill in the form and send you back a file (Card.dbf) . The Instant Check setup program will generate a key (one of more then 450,000 possible keys). So that no two Instant Check programs can decrypt the same file. If you use Instant Check on more than one machine, then the machine that created the file that your customer used to create Card.dbf is the only machine that can decrypt the Card.dbf . The customer can decrypt their own dbf file with Credit.exe, but once on another machine, the Credit.exe will no longer decrypt the file

To use this part of the program you must first select Credit from the Menu Bar and then select Setup Decrpytion. Enter all the correct information, this will be displayed on your customers machine. Now you are ready to distribute the Credit.exe file located in the sub directory of Instant check - Credit. You must distribute the Credit.exe with the file Readme.txt . If you do not include this file (Readme.txt) with the distribution of the program Credit.exe the program will not work. You do not need to have your customer send you any file but the Card.dbf file back. DO NOT ATTEMPT TO USE THE CREDIT.EXE file in the Credit directory (Folder). If you wish to try it out, copy the the two files (Credit.exe and Readme.txt) to a differenent folder. This is because the readme.txt file can only be used once. So each customer must get a fresh file. The fresh files are stored in the Credit directory.

STORING RECORDS

To store records for easy retrieval ,store them by the month. To do this click on LOGS and then STORE CUSTOMER RECORDS. A window will appear with today's date in it. Change the date to whatever date you wish and click OK. All records dated prior to the date that is entered will be moved to a new directory. If you enter a date of 04/01/03 all records that have not been stored yet that are dated 03/31/96 or earlier will be moved to a directory named 0396 representing the month and the year. You should also consider starting a new customer log the same day.

VIEWING LOGS

To view the current customer log or your current check log click on LOGS and then on VIEW CUSTOMER LOG or VIEW MY CHECK LOG. A list box will appear and you may select one to view.

To view stored logs click on VIEW STORED LOGS. Stored logs are stored by the date that the log was started.

Example: the date you installed Instant Check (let say it is 01/10/97) a log was started for your checks and one for your customers checks. When you selected to store them, they where placed in storage using a storage number 01101997.

When you select to store your logs a new log is generated using that days date.
